For suppliers
Build your profile once. Never fill the same form twice.
Apply to four buyers and four separate teams check the same certificates and the same financial statements, each starting from nothing, none of them aware the other three exist. Lucern holds one verified record for your company and answers every buyer's form from it.
The problem
Checked four times, on the same facts.
None of this is because the paperwork is hard. It is because nobody who checks it shares what they found with anyone else.
A new spreadsheet for every buyer
Suppliers we spoke with told us the same thing: the same company details and the same certificate numbers, retyped into a different spreadsheet for every buyer that asks.
Four teams, nothing shared between them
A supplier working with four buyers is checked four separate times, on identical facts, by four teams who never see each other's findings. What one buyer already confirmed still has to be proved again to the next.
Three to four months, paid again each time
A manual qualification runs three to four months. That cost lands in full on every new buyer relationship, even for a supplier with years of clean delivery already on record somewhere else.
We heard versions of this from 30 MSME suppliers before we built anything.
Build once
Every later form fills itself.
Your company details, statutory identifiers, financials and certificates go in once. Lucern reads each document, keeps it as a reusable data point across 407 canonical fields covering 63 certificate types, and answers the next buyer's form from that same record.
- 01
Upload each certificate once
Upload a scan and Lucern reads it: certificate number, scope, issuing body, expiry date. You do not retype any of it for the next buyer.
- 02
Identifiers checked as you enter them
GSTIN, PAN and CIN are checked for validity as you type, and cross-checked against each other, so a typo does not surface three applications later.
- 03
The next form starts ahead of the last one
Each application fills more of the next one: what you answer or correct is saved back into your profile, so later forms start further ahead. We aim for most fields to be filled from your profile within a handful of applications; that is a target, not a measured result.
A supplier who has already built a profile should reach the end of a later qualification in about three weeks, against the three to four month baseline of doing it by hand. That is the target the first pilot will test.
What joining involves
Six steps, and you type almost none of it.
This is what happens between signing up and being ready to answer a buyer's requirement. Where a step checks something against a real registry, it says which one.
- 01
Start from the numbers you already have
You do not retype what the government already holds. An MSME starts from its Udyam number; a larger company, which has none, starts from its GSTIN and CIN. Where registry access is live, Lucern fills your company identity, tax registration, incorporation details and MSME status from the official registries; until it is, you confirm them once and they are format-checked.
- 02
Upload whatever you have
Scanned certificates, photographed licences, stamped audit reports. Lucern converts the images to text and reads out the fields that matter: which standard the certificate covers, which body issued it, the certificate number, the scope, the expiry date. These are photocopies and phone photos at odd angles, not clean digital forms, and reading them properly is the hard half of the job. Roughly half a qualification form fills itself from this, with nobody typing anything.
- 03
Each credential is checked where it can be
Your GST number goes to the tax system, your company details to the corporate registry, your certifications to the body that issued them, wherever that body can be reached today. Where it cannot yet, the document is read and checked for consistency, and labelled that way. Once a certificate has been confirmed against the body that issued it, the next buyer does not have to ask you to prove it again.
- 04
Problems surface now, not during an audit
Lucern compares what you upload against your own earlier filings and against known genuine documents. A certificate that lapsed months ago, an automotive quality standard where an aerospace one is needed, figures in one document that contradict another. You are told at once, with the reason written out, while there is still time to fix it.
- 05
What you can actually make is recorded
Your equipment, your processes, your certifications and your delivery history are held as a structured record of what your shop floor can do and how each capability is proven. Not a list of keywords lifted from a brochure, which is what a buyer searching by hand ends up with.
- 06
The record stays current on its own
Certificates expire, audits fall due, financial positions change. Lucern re-checks these in the background so a record that says you are qualified today still means that today, and tells you before anything lapses.
There is a seventh thing we are building, which is inspection: capturing a measurement, the image behind it, the inspector's certification number and the calibration date of the equipment, then writing all four into your record together. It is not live yet, and the qualified inspector's judgement stays final when it is.
What gets checked
Every answer on your record says where it came from.
Nothing on your profile is presented to a buyer as more certain than it is. A value pulled from a registry says so. A value you typed yourself says so too. That honesty is what makes a buyer willing to take the record at face value instead of starting the checks again.
- Autofilled
- Read from a certificate you uploaded, pulled from a registry, or carried across from your own earlier profile, and untouched since.
- Edited
- Autofilled first, then corrected by you. Your correction is on the record, and so is the value it replaced.
- Supplier-entered
- Typed by you, with no document or registry behind it. The buyer sees that plainly, which is fairer to you than a field that quietly looks verified.
- Issue
- Something failed a rule, or the document behind it no longer supports it. Shown to you as a problem to fix rather than passed along as verified.
Registries go down. When one is unreachable your application is not blocked and does not fail. If the credential was checked in the last 30 days it is shown as unverified (degraded); otherwise it is marked as needing a manual check. Either way you carry on, and the buyer sees which of the two happened.
Whose record is it
The record belongs to you, not the buyer who asked for the check.
Whichever buyer's qualification prompted a check, the result is yours to keep. That is what makes it portable: the same verified profile goes to the next buyer, and the one after that, instead of you starting again as a stranger each time.
- A decade of clean delivery for one buyer stops being invisible to the next.
- You decide which buyer sees the profile. It travels because you take it, not because a buyer forwards it.
Stay current
Nothing lapses unnoticed.
Certificates run on their own expiry dates, not on your calendar. Lucern tracks every date on file and tells you before one runs out.
A warning, not a surprise
An alert goes out 90 days before a certificate expires, to you and to any buyer whose qualification depends on it.
A lapse found late is what restarts a qualification
Catch it while there is still time to renew, and the qualification carries on. Catch it during an audit months later, and it starts again from the beginning.
